From Excel chaos to structured HR

An HR system that finally brings order across countries

Sloneek helped us unify HR processes across the Czech Republic, Slovakia and Hungary and eliminate manual Excel work. We now have everything clearly organized in one place, significantly fewer errors and automated processes that save us hours of work every month.

Lindt is a global premium chocolate manufacturer operating across multiple markets. The local HR team manages employees in the Czech Republic, Slovakia and Hungary, including retail staff.

As the company grew, the original way of managing HR became unsustainable. The team relied heavily on Excel and email, which led to poor visibility, high error rates and increasing administrative workload.

The HR team managed employee data across multiple countries without a unified system.

Changes in personal data were handled via email and manually rewritten. Attendance was tracked in large spreadsheets without consistent structure or employee identification.

As the number of employees grew, this approach became unsustainable.

Challenges before implementation

The biggest issue was attendance and reporting.

Data came from multiple locations and had to be manually consolidated into one file without any consistent structure or linking.

“Processing attendance used to take me around 8 hours per month, which meant one to two full working days,” says Edita Hovhannisyanová, HR Business Partner.

This led to high error rates, delayed outputs and limited visibility into data. Without unique employee identifiers, even basic lookups were impossible: names were written in different formats across files, making it impossible to link records automatically. Everything had to be searched and rewritten by hand, which impacted the speed and consistency of reporting across systems.

Implementation of Sloneek

The implementation was carried out internally across three countries.

It included data consolidation, assigning employee identification numbers and grouping employees based on their needs.

Managers were also involved to ensure the system met their expectations, especially in terms of simplicity and clarity without unnecessary approval processes.

A major advantage was that Sloneek was already adapted to different legislations, which made the rollout in each country much easier.

The first month ran in parallel with the old system, after which the company fully transitioned to Sloneek.

How Sloneek helped

Today, Lindt uses Sloneek as the main HR tool for attendance, documents and reporting.

The system serves as a central hub for both data and communication. Employees have full visibility of their vacation, attendance and personal data, and actively use both the system and the mobile app.
